Company Policies and Procedures: Why Poorly Communicated Policies Cannot Be Enforced

AS PER THE COMPANY POLICY”.........IS A VAGUE STATEMENT IF

Many organisations rely on “company policies and procedures” to guide employee conduct. However, citing “company policy” without formally communicating, training on, and making that policy accessible to employees is neither fair nor defensible. Even more problematic are employment contracts that state “you shall work within company policies” without actually sharing those policies, training employees on them, and obtaining signed policy acknowledgement forms.

Beyond communication, the quality of the policy also matters. A policy that is poorly drafted, ambiguous, impractical, outdated, inconsistent with the law, or disconnected from actual operations cannot be legitimately enforced — regardless of whether it exists on paper. Good policies must be clear, lawful, operational, measurable, and aligned to organisational realities.

Policies only work when they are well-designed, written, shared, understood, acknowledged, and applied consistently. This protects management, empowers employees, and strengthens governance, compliance, and performance. Policies must operate within a structured Standard Operating Environment (SOE). An SOE ensures that policies are embedded into daily operations through clear roles, reporting lines, internal controls, monitoring systems, and accountability mechanisms. Without a strong operating environment, even well-written policies fail at implementation.

Strong organisations don’t rely on unwritten rules, hidden policies, or weak documents — they operate on clear, high-quality, and functional policies and procedures.
